Import, export and sharing

How to get existing documents in — and finished ones out again: to Word, onto paper, or as a link.

A document from Word or PDF

  1. In the Documents panel, right-click the folder the document should go into.
  2. Choose Import a document or spreadsheet….
  3. Pick the file. A .docx or a .pdf becomes a document you can edit — pictures included. An .xlsx or a .csv becomes a table.

An import is a change like any other: the new document appears among the work in progress and reaches the approved version only when published. The original file is not kept.

Material that should not become a document

A contract, the minutes of a meeting, an export from another system — things to draw on, but not part of the documentation — belong in the WIP files panel. Upload files and Upload a folder store them with the draft. The agent reads them; they do not get into the project’s documents.

To Word

  1. On the document’s tab, click the three dots ⋮ (File actions).
  2. Choose Export….
  3. Pick the kind of Word file you want.

Download as .docx with tracked changesThe changes since the last accepted version become Word tracked changes. For somebody who wants to review in Word.
Export as .docx in templateThe document in your company template — letterhead, fonts, styles.

Printing and PDF

The same ⋮ menu has Print…. It opens the browser’s print dialog; for a PDF, choose “Save as PDF” there instead of a printer.

Sharing with a link

A customer or an auditor need not have an account. Share with a public link creates a link through which anybody who has it can read the document.

The File actions menu (the three dots on the document’s tab).

You can revoke a link at any time. From that moment it stops working for everybody who has it.
